In my experience as a coach, I've encountered many dedicated professionals struggling to navigate the complexities of time management in their new roles. One such story is that of Jamie, who stepped into a managerial position within a dynamic corporate firm. Her journey from time-taxed to time-savvy offers valuable insights into effective time management.

When Jamie was promoted, she faced an overwhelming influx of responsibilities. Her days were a blur of meetings, emails, and deadlines. The turning point came one Wednesday when a missed deadline led to a cascade of scheduling conflicts and critical feedback from upper management. Realising the need for change, Jamie reached out for guidance on managing her new responsibilities more effectively.

I introduced Jamie to the "Big Rocks" method, which emphasises prioritising tasks that have the most significant impact on your goals. Together, we identified her big rocks: key client meetings, project deadlines, and team development sessions. By scheduling these priorities first and protecting this time, Jamie learned to manage her schedule proactively rather than reactively.

Interestingly, statistics reveal that the average employee spends about 13 hours a week on emails, which accounts for 28% of their workweek. Imagine reclaiming a substantial part of this time by focusing on what truly matters. Additionally, 82% of people do not use a dedicated time management system, yet those who do report significantly higher productivity.

Jamie's transition highlights the importance of prioritising and protecting your time. Here are a few strategies that helped her succeed:

  • Prioritise ruthlessly. Clearly identify your "Big Rocks" and schedule them first in your calendar.
  • Set boundaries. Assess tasks critically and learn to delay or decline less critical ones to focus on your priorities.
  • Leverage tools. Use planners, apps, and other technologies to keep your schedule organised and accessible.
  • Reflect and adapt. Continuously evaluate your time management techniques to ensure they meet your current and future responsibilities.

Through our sessions, Jamie learned that effective time management is less about filling every minute with work and more about ensuring those minutes are spent on work that drives the most value. Her story is a testimony to the power of strategic time management in enhancing both personal well-being and team performance in any managerial role.
